n8n vs Zapier: Which Automation Tool Is Right for Your Business?

Zapier is the easier, faster option for a small business that wants simple automations running within the hour, while n8n is the more powerful, more flexible option for a business with complex workflows or an in-house person who can set it up once and run it cheaply afterward. Most small businesses should start with Zapier and move to n8n only when Zapier starts costing more than it is worth.

Both tools do the same basic job: they connect apps that do not naturally talk to each other, so an action in one app triggers an action in another, without anyone manually copying data across. The difference is in how they are built, what they cost at scale, and who can realistically operate them.

What Zapier gets right

Zapier is built for someone with no technical background to set up an automation in minutes. You pick a trigger app, pick an action app, connect your accounts, and you are running. It has the largest library of app integrations in the industry, so if you use a mainstream tool, it almost certainly connects to Zapier already.

The catch is pricing. Zapier charges by the number of \"tasks\" an automation runs, and task counts add up fast once you have several automations running across a growing business. A business that starts on a modest plan can find itself paying several times more within a year, purely because of volume, not because the automations got more complex.

What n8n gets right

n8n is open-source workflow automation software that you can either self-host on your own server for a fixed, low cost regardless of volume, or run on their cloud plan. It has a visual workflow builder similar to Zapier's, but it also lets you drop in custom code, branching logic, and connections to tools that do not have a ready-made integration, by calling their API directly.

The tradeoff is setup complexity. Someone needs to understand the workflow logic, and self-hosting means someone is responsible for keeping the server running. For a business without any technical person on staff, this can be more friction than it is worth, which is usually when hiring an agency to build and maintain the workflow makes more sense than trying to DIY it.

A side-by-side look

  • Ease of setup: Zapier wins for simple, linear automations. n8n has a steeper learning curve but handles branching logic Zapier cannot.
  • Cost at scale: n8n self-hosted wins decisively once you are running thousands of automation tasks a month. Zapier's per-task pricing grows with you.
  • Integrations: Zapier has more pre-built connections to mainstream apps. n8n can connect to almost anything through its HTTP request node, but you may need to configure it yourself.
  • Flexibility: n8n allows custom code steps, conditional branches, and loops that Zapier's simpler model cannot easily replicate.
  • Reliability for non-technical teams: Zapier is the safer choice if nobody on your team wants to touch workflow logic directly.

Which one fits your business

If you are automating a handful of simple tasks, like adding new leads to a spreadsheet or sending a Slack alert when an order comes in, Zapier will get you there fastest with the least hassle. If you are running a business with complex, multi-step processes, like routing leads through qualification logic, pulling data from several systems, and triggering different actions based on conditions, n8n gives you room to build that without hitting a wall or a massive bill.

A common pattern we see with clients is starting on Zapier to prove out an idea quickly, then migrating the workflow to n8n once it is clearly valuable and the task volume starts making Zapier's pricing uncomfortable. There is no shame in that path. It is often the cheapest way to learn what you actually need before committing to the more complex tool.

The honest middle ground

Many businesses end up running both: Zapier for quick, low-volume connections between everyday apps, and n8n for the core business-critical workflows that run constantly and would get expensive on Zapier's pricing model. Neither tool is objectively better. They solve the same problem at different levels of complexity and cost.

Frequently asked questions

n8n is open-source and free to self-host on your own server, though you pay for the server itself and for the time to set it up and maintain it. Their managed cloud version has its own paid pricing if you prefer not to self-host.
Not strictly, since it has a visual drag-and-drop builder like Zapier, but complex workflows with custom logic are much easier to build correctly with someone who has technical experience.
You can rebuild the same logic in n8n, but the workflows are not directly transferable between platforms, so switching means recreating the automation rather than importing it.
